School Policies

Elite TKD Academy do not employ contracts, a lot of our policies are simply verbal or "understood". To help avoid miscommunications and misunderstandings this section of the web site will have many (but not all) School Policies in written form. It will be added to as matters arise.


INACTIVE STUDENTS: 

The following policy is based on General Choi Hong Hi 9th Dan philosophy of the need for constant and consistent training. A student is considered inactive if he/she has not participated in training for at least 30 days. Inactive students lose all accumulated classes for determining testing eligibility and will start at zero classes when they become active again.


TAE KWON-DO GRADING PROCEDURE:

Any student who wishes to test for their next grade should note the following rules.

Time periods between gradings are calculated for students training TWICE per week or more. Those students training only ONCE per week should double the required period between gradings from *6th Kup (Green Belt) onwards

  • The student must of trained for the required period before testing/grading.


  • The student should have a good attendance record (75% or above training twice per week)


  • All students wishing to grade MUST have a current and valid license


  • Grading fees must be paid on or before the relevant closing date given by the instructor - Grading fees are a non refundable/transferable fee, this includes non attendance/no shows on the actual Grading/Belt Test day.


  • All students will grade at the instructors discretion. No student has an “automatic” right to grade.



MINIMUM TIMES BETWEEN GRADINGS BASED ON TRAINING TWICE PER WEEK OR MORE:

9th KUP (Yellow Stripe) - 6 weeks

8th KUP (Yellow) - 2 months

7th KUP (Green Stripe) - 3 months

6th KUP (Green) - 3 months

5th KUP (Blue Stripe) - 3 months*

4th KUP (Blue) - 3 months* 

3rd KUP (Red Stripe) - 6 months* 

2nd KUP (Red) - 6 months*

1st KUP (Black Stripe) - 6 months*

1st Dan (Black belt) - 6 months*


ELITE DRAGONS GRADINGS/BELT TESTS:

Elite Dragons gradings are held approx. every 4 months and will grade at the instructors discretion.  Parents/Guardians will be notified of their Elite Dragons grading/belt test date via text message and/or our schools Elite TKD closed/members only facebook group includes all relevant details i.e. deadline date for handing in grading fees, license books.

Once grading/belt test communications have been sent - it is the parents/guardians responsibility to ensure that ALL items required are/have been submitted/handed in on or before the deadline date provide.  If we do not receive ALL of the items required by the deadline date provided then we will take this as your (parents/guardians) decision/choice that your Child/Elite Dragon does not wish to grade at this time - We will not chase parents/guardians for these items i.e. gradings fees and license books. 

PLEASE NOTE: Grading fees are a non refundable/transferable fee, this includes non attendance/no shows on the actual Grading/Belt Test day. 


MEMBER FEES:

Elite TKD Academy does not employ contracts that obligates students to any length of payment terms. Member fees are paid on a monthly basis only, either by Bank Transfer or Direct Debit/Standing Order set up and are calculated over a 48 week period. 

Member fees are to be paid on or before your provided/agreed payment date every month - if you are not completely sure on your payment due date, then please do not hesitate to ask. 

We do not want any of our students to fall behind with their member fee payments, therefore late payments will incur a £5 late payment charge being applied to your normal monthly member fee payment, unless late payment has been agreed/discussed with the Chief Instructor prior to your payment due date. 

To help with receipt of monthly member fees being paid on time Elite TKD Academy will send out "Polite Reminder Text Messages" to those students/parents that opt/prefer to make bank transfer payments.  However it is ultimately the students/parents responsibility to ensure that their monthly member fee payments are paid on time, every month regardless of sickness, injury or going away on holidays etc.

*PLEASE NOTE: it is a students monthly member fee that actually secures an individuals membership/licence and training PLACE at Elite TKD Academy - therefore late payments may lead to a students place being completely released and membership cancellation*.

Monthly member fees are a non refundable fee - includes the following points:

  • Missed classes - this includes due to injuries/illness


  • Holidays


  • Bad weather/snow days.


  • No longer wishing to continue training or termination of training with Elite TKD Academy.



LICENSE/MEMBERSHIP BOOK:

All students are required to have a valid annual membership/license book (renewed every 12 months) in order to train.  New students are entitled to 4 weeks FREE membership/license but MUST complete/sign 2 forms provided.  A students annual membership/license book includes individual insurance slip provided via our affiliation with NAKMAS National Governing Body.  Elite TKD will endeavour to send out "Polite Reminder Text Messages" to all students 2 to 4 weeks prior to expiry date (ultimately it is a students/parents responsibility to ensure that they are in possession of a valid license) - text message will include a deadline date for the following items to be handed in

  • Elite TKD Academy (Black/Gold) licence book.


  • Completed/signed license renewal application form - MUST be signed by parent/guardian if student is under 18 years.


  • Annual membership/license payment/fee.


*PLEASE NOTE: A student CANNOT train without a valid membership/license.  Also if you miss the deadline date as provided in the "Polite Reminder Text Message" a £8 late renewal charge will be applied and the student will not be eligible to train until we have received the valid license/insurance slip back from NAKMAS National Governing Body*.


TRAINING PRIVILEGES:

Elite TKD Academy is a traditional martial arts school, our goal is to provide a positive and fun family friendly environment for people to train in Tae Kwon-Do and Martial Arts.  Everyone is welcome to train at our school regardless of age, gender, or race.   All students & parents are expected to closely follow the Tenets (Courtesy, Integrity, Perseverance, Self Control, Indomitable Spirit) of Tae Kwon-Do while training or present at the centre in order to assure a positive and friendly training atmosphere.  Training privileges are not a right to be purchased with monthly member fees. It is the responsibility of the Chief Instructor to maintain an appropriate environment for the school as a whole.  If a student or parent is disruptive to the training of other students/parents due to behaviour, actions, speech or attitude, it is up to the discretion of the Chief Instructor to ask the disruptive student/parent to leave the School immediately, if this action is taken then the students training will be ceased with immediate effect and their current membership will no longer be valid at Elite TKD Academy / NAKMAS National Governing Body.


STUDENT UNIFORMS:

As part of the Tae Kwon-Do tradition and as a matter of etiquette, all students must wear an official Elite TKD Academy White or Black uniform 

  • White uniforms are the official uniforms (Elite Dragons = Black) that must be worn for all gradings/belt tests as well as some tournaments/seminars where stipulated.


  • Black club training uniforms can be purchased as an optional extra and can be worn as a regular uniform at your weekly training classes.


  • Students should NOT wear uniforms from other schools while in class unless permission is granted by the Chief Instructor.


  • T-shirts are NOT acceptable to be worn under uniform tops, unless permission has been given, females are permitted to wear sports tops, however these must not be visually seen under your uniform top.


  • Uniforms should be kept clean and pressed.



FOOTWEAR:

All students MUST grade/test bare feet.  However official TaeKwon-Do training shoes ONLY (not trainers) are allowed/permitted in normal/regular training classes.


PERSONAL HYGIENE:

Fingers and toe nails are to be clean and cut/clipped short.  Individuals personal hygiene should be maintained for the wellbeing and comfort of all students.


JEWELLERY and PIERCINGS:

Absolutely NO jewellery or piercings are allowed to be worn in class, gradings or tournaments as a matter of safety for the student and others. If earrings cannot be removed, then they must be tapped. All students with long hair MUST be kept tied back whilst training.


ORDERS/REFUNDS:

Elite TKD Academy do not hold stocks of any items i.e training uniforms (doboks), t-shirts, sparring equipment kits etc. 
All items are ordered specifically for each individual as and when requested by students or parents, all items MUST be paid for in full before items can be ordered.
Refunds cannot be given once the order has been submitted/placed with any of Elite TKD Academy's approved suppliers, items are specific for the individual student/s i.e sparring kit size and colour, uniform size and colour (uniforms are bespoke and are embroidered with Elite TKD logo's/name).


*PLEASE NOTE: It is the students/parents responsibility to check and report any defects immediately prior to the items being worn in order that a replacement/solution can be sorted/agreed*.


BAD WEATHER/SNOW DAYS: 

During the winter months, if snow or bad weather conditions do not permit the school to open then all of our members will see any closures in our Elite TKD MyStudio App within 'Class Schedule tab' for any last minute closures (same day) we will do our best to notify all via WhatsApp and/or text messages and within our members only Facebook group prior to class starting. 

SCHOOL & BANK HOLIDAYS:

Elite TKD Academy remain open during 'School Holidays' (Closed Bank Holidays) accept for a 2 week period during the main 6 weeks holidays. we are committed to ensuring that your training sessions are provided consistently throughout the year.  

All members will see any closures published in our Elite TKD MyStudio App with the 'Class Schedule tab' for any last minute closures (same day) we will do our best to notify all via WhatsApp and/or text messages and within our members only Facebook group prior to class starting.

BREAKING:

Breaking is practised and part of our full Tae Kwon-Do syllabus for advanced students only (18 years up) Blue Belt (4th Kup). 

We advise that all students practice their breaking techniques under full supervision of your instructor at Elite TKD Academy.

PERSONNEL INJURY/HEALTH NOTIFICATION:

It is the students responsibility to ensure all injuries or any health concerns are communicated to the instructor prior to the lesson commencing.

ASSISTANT INSTRUCTORS:

If an Assistant Instructor leaves and therefore are no longer a member of Elite TKD Academy then their Assistant Instructors uniform including folders and all contents/materials; these are issued FREE Of Charge by Elite TKD Academy MUST be returned IMMEDIATELY in full and in good/acceptable condition.

TEAM ELITE SQUAD MEMBERS:

If a Team Elite Squad Member leaves and therefore are no longer a member of Elite TKD Academy or they become an inactive squad member then their Team Elite Squad uniform (Sponsored by RUPLA); these are issued FREE Of Charge by Elite TKD Academy and our Sponsors RUPLA MUST be returned IMMEDIATELY in full and in good/acceptable condition.

ELITE TKD CLOSURE PERIOD:

Any closures will be entered/published in our Elite TKD MyStudio App within the 'Class Schedule tab', if for whatever reason there is a last minute closure, we will do our best to ensure that this is communicated out to all members (students/parents) via WhatsApp and/or Text Messages and within our members only Facebook group prior to class starting.  Generally we have a 2 week closure period (per annum) during the main summer holidays.

*PLEASE NOTE: All students monthly member fees are to be paid in full as normal - member fees are calculated over a 48 week period, in order to take into consideration up-to a max 4 weeks closure.  Since Elite TKD opened in January 2007, we have only ever closed for a 2 week period so apart from that we are open all year round (excluding Bank Holidays & Christmas).
